The short version: call your building management the day you book and ask three questions — do you require a COI and in whose name, how do I reserve the elevator or dock, and what hours are moves allowed? Give the answers to your carrier at survey time so stairs, carries and shuttle needs are priced into the estimate. Access surprises are the most common source of moving-day disputes in dense buildings — and the most avoidable.

What's a COI and why does my building want one?
A certificate of insurance — proof from the mover's insurer that the building is protected if the crew damages the lobby or the elevator. Many managed buildings won't let a crew in without one naming the building. Ask your management for their COI requirements the day you book, and pass them straight to the carrier.
What building rules trip up moves?
Elevator reservations with hard time windows, loading dock schedules, protected-hours rules, and buildings that require moves on weekdays only. Every one of these is easy to handle in advance and expensive to discover at 8am with a full truck outside.
What do stairs and long carries cost?
Carriers charge for flights of stairs and for 'long carries' when the truck can't get near the door — and in tight streets a smaller shuttle truck may be needed to ferry goods to the semi. All of it is normal, and all of it should be in the estimate because the surveyor asked, not on the bill because the crew discovered it.
